…..It has never been easy to say “no” to someone, but it is important to know how to do it – most especially at work where time is always at a premium. We cannot create more hours, so learning how to properly utilize the ones we have each day will help you find success in all walks of life. That said, how does one gracefully turn someone down without offending them?
Here are five smooth ways to say “no” at work:
- Be Kind and Give A Compliment – It never hurts to go the extra step by saying a kind word while saying no. Plainly state why you cannot commit, but find something encouraging to say in order to keep things from getting awkward. This way you will have a lesser chance of insulting people while turning them down.
- Offer An Alternative – If you are unable to help someone in the way they are requesting, it is good form to offer alternatives if you have any. Perhaps there is another way you can help? Or maybe you know somebody else that would be interested? Whatever the options are, share them with those who need help and you may still be able to help them by providing the bridge to what they need.
- State Your Reasons – It is rude to just say no without giving a reason for why you cannot commit to helping. Explain why you are unable to help out – not enough time, not enough budget, too much on your table, conflict of interest, etc. Whatever it is,
- show respect by giving the time and effort to tell them “why”.
- Keep It Short, But Not Too Short – As mentioned above, time is always of the essence when it comes to work. This means that dealing with anything that is too long-winded should be avoided in order to optimize time management. Always try to keep your explanations simple and brief – but do not overdo it! Make sure your messages and/or explanations at least show that you have given the decision serious thought – otherwise you run the risk of looking like a jerk.
- Don’t Shut The Door Completely – If you are interested in helping, but really just do not have the time or resources available at the moment – let them know by not completely shutting the door on them. Inform them that you may be unable to help at the moment, but that you are interested – then suggest a better time for you to get involved.
